Property Manager

Job Description

Our client — a respected multinational Family Office with operations in Cyprus, Latvia, and Ukraine — is seeking an exceptional Property Manager to oversee a diverse portfolio of high-end residential and rental assets. This is a role for someone who doesn’t just “manage properties” but protects and elevates them.

If you thrive in environments where precision, trust, and discretion are non-negotiable, this is a rare opportunity to step into a role with impact, autonomy, and long-term stability.

The Role:

You will take full operational ownership of a portfolio of premium properties, ensuring they run flawlessly day-to-day, remain in top condition, and deliver the comfort and standards expected in a UHNWI environment.

Your responsibilities will span operational, financial, administrative, and technical oversight, including:

  • Keeping all property documentation current and controlled (leases, insurance, service contracts, licenses).
  • Monitoring and managing renewal dates for leases, insurance, utilities, and service agreements.
  • Overseeing payment of operating expenses and coordinating maintenance budgets.
  • Organising preventive and emergency maintenance; liaising with contractors and conducting regular inspections.
  • Managing suppliers and service providers (cleaning, security, gardening, technical teams).
  • Ensuring full compliance with safety, fire protection, and insurance requirements.
  • Maintaining the daily readiness and presentation of all properties for residents and guests.
  • Preparing monthly and annual reports on asset condition, expenses, and maintenance activity.
  • Acting as a key point of communication for tenants, owners, and Family Office members.
  • Overseeing legal, tax, and contractual compliance related to the properties.
  • Managing inventories, asset tracking systems, and digital property management tools.
  • Recommending cost optimisations, energy efficiency solutions, and service improvements.
  • Maintaining absolute confidentiality at all times.

Additional duties include:

  • Managing renovations, capital repairs, and improvement projects.
  • Overseeing tenders, contractor performance, access control systems, and CCTV.
  • Preparing properties for inspections, audits, and owner visits.

Your Profile:

  • Minimum 5 years’ experience as a Property Manager, Estate Manager, or Facilities Manager.
  • Experience within a family office, luxury residential environment, or hospitality sector is preferred.
  • Strong understanding of building operations, engineering systems, and contractor management.
  • Solid financial tracking/reporting skills (Excel or similar tools).
  • Strong grasp of contractual and lease-related legislation.
  • Excellent organisational skills, reliability, and adaptability.
  • Hiring for a bilingual professional, fluent in English and Russian language; Greek is an advantage.
  • Degree/certification in property management, engineering, construction, or hospitality is a plus.

Key Personal Traits:

  • Highly responsible and results-driven.
  • Discreet, tactful, and trustworthy.
  • Exceptional attention to detail and ability to multitask.
  • Capable of building strong working relationships with tenants, owners, and contractors.

If you're a polished professional who knows how to run properties at a world-class standard — and you want to join a stable, respectful, and well-structured Family Office — we’d like to hear from you.
