The Opportunity
This is not a typical Office Manager role. You’ll sit at the centre of the business, working directly with senior leadership, ensuring everything behind the scenes runs seamlessly — from executive coordination to operational efficiency and compliance. What You’ll Be Responsible For
You’ll take full ownership of the office environment and administrative function, including:
- Leading and optimising daily office operations to ensure efficiency and continuity
- Acting as the first point of contact — creating a professional and welcoming front-facing presence
- Managing calendars, meetings, travel arrangements, and company-wide events
- Coordinating office logistics, supplies, maintenance, and external vendors
- Supporting document control and maintaining structured, compliant filing systems
- Assisting with onboarding and ensuring new employees are set up for success from day one
- Monitoring office-related costs and supporting budgeting processes
- Acting as the key liaison with IT, facilities, and third-party providers
- Ensuring internal policies and administrative procedures are followed consistently
- Taking ownership of Health & Safety responsibilities, including risk assessments and regulatory compliance
What We’re Looking For
This role requires someone who is highly organised, proactive, and confident dealing with senior stakeholders.
- 7+ years’ experience in Office Management or senior administrative roles
- Strong background in reception/front-of-house responsibilities
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams); SharePoint is a plus
- Fluent in Greek and English (both written and spoken)
- Exceptional attention to detail and ability to manage multiple priorities simultaneously
- Professional, discreet, and trustworthy — you’ll be handling sensitive information
- A problem-solver who takes initiative rather than waiting for direction
